A Consortium Agreement allows you to take classes at different Colleges/Universities at the same time while receiving financial aid from your home college to help cover the cost of both Colleges/ Universities. Please keep in mind that you cannot receive aid from more than 1 college so if you do not complete a Consortium Agreement, your aid will only be based on what you are enrolled in at your home college.
Please note, students DO NOT have to be enrolled at the college disbursing the aid, as long as there is a valid Consortium Agreement on file.
Home College (Awarding Student Aid) and Delivering College are both KCTCS Colleges
If your classes are taken at different KCTCS colleges you do not need to do anything except provide documentation that the classes taken at colleges other than your home college are required for completion of your credential. Your dual enrollment will be identified by a report but you must check with your student aid office regarding the required documentation that the classes taken at the other colleges count toward your degree. Your student aid paperwork is submitted to, handled by, accounted for and distributed by the Home College. Home College is the college from which you plan to obtain a degree.
Home College (Awarding Student Aid) is a KCTCS College but Delivering College is outside KCTCS
To consider enrollment at Non-KCTCS colleges, you must pick up a Consortium Agreement from your KCTCS college and complete the student part and provide it to the Registrar of each of the Non-KCTCS Delivering College(s). The Non-KCTCS Delivering College Registrar certifies your enrollment and forwards the completed form to the student aid office of your Home College.
In both cases, the Home College Registrar verifies the classes taken from the Delivering College count toward your particular educational credential (certificate, diploma, degree) to be received from the Home College. If the classes taken from the Delivering College do not count toward the Home College credential those classes will not be included in the calculation of enrollment for eligibility purposes. In addition, you are responsible for paying for all classes taken at Non- KCTCS colleges whether the classes are accepted for the degree or not. If the Non-KCTCS college's payment deadline is before the KCTCS disbursement date, it is your responsibility to make payment arrangements in the interim.
Home College (Awarding Student Aid) is NOT a KCTCS College, but Delivering College is a KCTCS College
You need to obtain a Dual Enrollment Form from the Student Aid Office of the NON - KCTCS Home College. The Student Aid Office or the Registrar of the Delivering KCTCS College will certify the classes you are taking. Then the Awarding College (Home) can determine the enrollment status. You must provide a form to each of the KCTCS Colleges delivering the course. For example, you take two courses that are at different KCTCS Colleges, you will need to provide this form to each school. It is your responsibility to pay the tuition to the KCTCS college by the deadline in order to avoid being dropped for nonpayment. You must contact your college to request your college's written procedures on Dual-Enrollment / Consortium Agreements.
Additional Information about Consortium Agreements at BCTC
Students cannot receive aid at two institutions during the same enrollment period. However, students may take classes required for their program at a different college and request the enrollment to count toward their financial aid. Students who wish to take classes at different colleges at the same time with different enrollments counting toward their total enrollment must make proper payment arrangements with their home and/or visiting college.
If BCTC or another KCTCS college is not the home college of the student, they must follow the Home (non-KCTCS) college process for setting up a BCTC Consortium Agreement. Go to Financial Aid Forms page to request a BCTC Consortium Agreement Form (PDF). Students that are visiting BCTC on a Consortium Agreement/Dual Enrollment are financially responsible for any incurred tuition and fees prior to the payment deadlines published in the Academic Calendar.
Students who enroll in courses (at either the Home or Visiting college) that do not go towards the completion of their degree, will not have those particular classes paid for and the student must pay out-of-pocket or make alternative payment arrangements as financial aid cannot pay for a course that will not go towards a degree completion.
