Financial Aid Processing Timelines

Financial Aid Processing Timelines

Understanding financial aid processing timelines can help you plan ahead and know when to expect updates on your financial aid status.

KCTCS System-Wide Processing Timeframes

FAFSA Processing

KCTCS typically begins loading FAFSAs and awarding financial aid for a new aid year in April. Financial aid offers for the upcoming aid year are generally not available until after that time.

For students enrolled in Spring-only courses, FAFSA information begins loading on November 1.

If you make corrections to your FAFSA, updated information is typically received within 3–5 business days.

Verification Processing

To avoid delays, submit all requested verification documents at the same time whenever possible.

Verification processing does not begin until all required documents have been received and marked as Completed.

After all required documents are complete, allow:

  • 5–7 business days for processing during standard periods
  • 10–15 business days during peak processing periods

Financial Aid Disbursement

Financial aid funds are typically received by the college 4–6 weeks after the semester begins. For students enrolled in late-starting classes, funds are generally received 4–6 weeks after those classes begin.

Once funds are received, they are usually applied to your student account within 2 business days.

Document Receipt and Account Updates

After a document has been submitted and received by the Financial Aid Office, it generally takes 1–2 business days for your account to be updated to show the document as received and completed.

The actual timeframe may vary depending on the submission method. For example, documents submitted by mail require additional delivery time before processing can begin.

SAP Appeals

SAP Appeals are reviewed by the Appeals Committee on a weekly basis.

Once a SAP Appeal has been submitted, please allow up to 20 business days for a decision. Appeal decisions are communicated to students by email.

Document Processing

Estimated processing times by submission method are:

  • In Person: 1–2 business days
  • Mail: 1–2 business days (after delivery)
  • Fax: 2 business days
  • Email: 2 business days

Processing times may vary during peak periods depending on application volume.
