Important System-wide Disbursement and Refund Dates

Disbursement is when the college verifies your class attendance and then receives the funds for your financial aid from federal, state, or foundation sources and applies those to your tuition account/balance. Funds are typically received by your college 4-6 weeks after the semester has begun (or after your classes have begun, if you have late-starting classes). Once received, funds are applied directly to your account balance within 2 days.

Disbursements

(NOT FOR SUMMER) KEES disbursement: Disbursement of KEES money typically occurs on the second regular disbursement date of a term and continues every week after that, for those who are eligible. The KEES award can only be used for Spring or Fall and shall not include Summer sessions.

Pell Grant disbursement: Students enrolled in a course that has a later start date will receive another Pell disbursement for that individual course. Enrollment must be confirmed and awards adjusted before disbursement occurs.

Student Loan disbursement:

  • Student loans will require half-time enrollment (6 credit hours) and will disburse once the enrollment requirement has been met.
  • First-time student loan borrowers will not receive a loan disbursement until 30 days after their first term begins. Start of term is defined as the earliest start date of a student's scheduled courses. For example, if the student is enrolled in a 16-week course and a later starting 8-week course, the 30 day time frame would begin on the start date of the 16-week course.
  • All single-term loans will be disbursed in two installments during that term. This rule applies to you if you are receiving loan funds for Fall only (must be graduating in the Fall), Spring only, and Summer loans. The second installment of a single-term loan will post after the midpoint of the student’s enrollment period.

Bi-Term and Delayed Start disbursement: Second bi-term courses may have a delayed disbursement. In the event this occurs, a hold will be placed on the account to prevent a refund from generating for students enrolled in late start classes until after disbursement.

Refunds

Student financial aid refunds must go through the disbursement process before being refunded to you. Disbursement is when the college verifies your class attendance, a complete financial aid file and then receives the funds for your financial aid from federal, state, or foundation sources and applies those to your tuition account/balance. Funds are typically received by your college 4-6 weeks after the semester has begun. Once received, funds are applied directly to your account balance within 2 days. You may view this on your Student Self-Service. Once disbursement has occurred, the refund process on any excess funds will begin. To avoid delays, make sure you have set up your refund preference as early as possible.

After the initial refund date, refunds run every week for amounts awarded prior to Wednesday and are sent to BankMobile every Thursday morning and the funds are delivered to the personal refund preference you chose when activating your KCTCS BankMobile Vibe card:

  • BankMobile Vibe Card: Thursday evening after 4pm
  • ACH (Direct) Deposit: Friday evening after 4pm (dependent upon bank processing)
  • Students who paid tuition using a payment plan will receive their refund via their BankMobile refund preference.

To access and monitor your BankMobile account, please visit https://www.vibeaccount.com. Changes will only impact future refunds.
